How to Design Effective Board Meetings

Board meetings are the place where important corporate decisions are made – from corporate policies to management appointments, to financial control and crisis response. In these meetings, members outline their opinions, debate different ideas and ultimately steward an organization through the complexity of business. The most effective boards set agendas that encourage constructive dialogue and yield results.

The most important aspect of an effective board meeting is supplying advance preparation materials to board members. Nothing degrades the effectiveness of a meeting more than having attendees be rushed to read important documents during the meeting or, even worse, having materials provided late or not available at all.

It is beneficial to include a list of topics to be discussed ahead of time to ensure that board members are well-prepared and are able to anticipate. This allows the chair to focus on the most important issues and not repeat topics already discussed.

A strategic planning component is an excellent idea to put to the top of your list. This will allow for a thorough review of the board’s strategies to determine whether it is in line with the goals or if there are holes that require to be addressed.

It’s also a good idea to begin the meeting with an inspirational or motivating message to re-energize the room and set the tone for productive discussions. It could be as easy and straightforward as a story about the organization’s success, or it can include an acknowledgement of the individuals’ staff and board members contributions.
